Position Title: Bookkeeper and Operations AssociateReports to: Chief Financial OfficerIntroduction:Religions for Peace is the world's largest and most representative multi-religious coalition advancing common action among the religious communities for peace. Headquartered in New York and accredited to the United Nations, Religions for Peace works through more than 90 inter-religious councils and groups, networks of religious youth and women of faith, and a World Council of religious leaders comprising the world's largest and most representative coalition of religious communities. Religions for Peace creates effective multi-religious partnerships to stop war, end poverty and protect the earth.The Finance and Operations Associate will be based in NY and is responsible for assisting with all the organizations accounting functions. Including, monthly bank and credit card reconciliations, and assisting with financial reporting; maintaining a record of all electronic fiscal documents. Other tasks include the organization's operations and administration functions. Which include acting as a liaison between staff and the organization's IT company, overseeing office maintenance, and inventory organization, and assisting with the onboarding of all employees and interns. Essential Duties and Responsibilities:Accounting: --- Accounts Payable, Accounts Receivable reconciliation, accruals and other reporting instruments to maintain financial accountability for government and private funding agencies. --- Maintain up-to-date cash flow, prepare monthly bank accounts reconciliation and investment accounts.--- General ledger update & analysis of all major balance sheet and income statement accounts. --- Cash handling, bank deposit.--- Maintain expense allocation table to ensure appropriate assigning of indirect costs and restricted funds. --- Maintains and reconciles payroll allocation accounts on a monthly basis.--- Maintain records of all fiscal documents with appropriate support materials.--- Prepare year-end schedules and analysis for the outside auditors. Assist in project audits and other audit reports.Operations:--- Management of daily administrative tasks for the office--- Assist with program events' logistics--- Maintain the company's internal contact list and seating chart.--- Work with building management to issue access cards and submit support tickets for maintenance, as necessary.--- Perform data entry, scan/copy documents, file paperwork, and any additional office administrative duties, as requested by the Management team.--- Manage the organization inventory of all supplies and assets --- Oversee property and office space management /Prepare workspace for new employees.--- Oversee equipment/furniture inventory / inventory log and monitor RFP equipment take out log.--- Provide technical assistance and support for issues related to computer systems, software, and hardware.--- Act as a liaison between RfP and IT service provider; follow up with employees to ensure issues are resolved.Internship Coordinator:--- Serve as a liaison between RfP colleagues/organization and the participants (interns). In addition, cooperation in developing and maintaining effective business relations with the RfP staff, outside organization and participants while incorporating professionalism, respect and integrity.--- Ensure all internship agreements are completed accurately and are kept securely.--- Ensure that all updated/approved documents are signed by the appropriate party(s).--- Maintain the records of all participants--- Providing employees and participants with the most current up-to-date internship documents.--- Review and discuss all forms with the interns.--- Assist staff with the intern enrollment process.--- Review requirements of the internship program with all department supervisors to ensure their needs are covered and assist them in their research.--- Assist staff with their meetings and evaluations.--- Perform other work related to this duty as assigned.Qualifications:- BS/BA degree in Business administration/Accounting or related field - 1-3 Years Related experience and knowledge of Non-profit accounting standard- Strong organizational skills, verbal and written communications skills, and the ability to interact well with others. - Self-motivated and enthusiastic, able to work under pressure, and able to manage high volume workload/ meet targets and deadlines.- Able to work independently with minimal supervision and as part of a team in a fast-paced; willingness to accept responsibilities, good analytical ability, and problem-solving. Able to respond effectively to changing priorities.- Working knowledge of Microsoft Office and Accounting software - MIP fund accounting or other not-for-profit accounting software is preferred.
