EnTech Engineering, PC is a multi-disciplinary engineering consulting firm based in downtown Manhattan and Iselin, NJ. Our services include construction management and inspection, environmental consulting, civil design and BIM/VDC. EnTech is currently seeking a "Project Accounting Coordinator" to join us full time.

The Project Accounting Coordinator is responsible for supervising EnTech's invoicing SOPs and ensuring they are followed. The individual also is responsible for communicating directly with clients and Practice Leaders on billing, rates and overhead rates on projects when appropriate. This includes ensuring that all invoices submitted are on time, up-to-date and error-free, and that the most recent overhead rates are being used on projects. The position also is responsible for helping to monitor project financial status and preparing financial dashboard reports from Unanet and reporting to management for invoicing and related decisions. The Project Accounting Coordinator also must be familiar with the various NYC Agency auditing and overhead setting processes and procedures, including FAR, contract close-out audit and other agency audits.

Responsibilities include, but are not limited to:

  • Maintain an accurate system of accounting data and records
  • Work closely with management to resolve accounting and finance issues
  • Establish cash-flow management and related receivables process
  • Support accounting and finance system implementation
  • Assist in managing invoicing, accounts receivables, collections and payables
  • Provide accurate and timely business, accounting and financial reports
  • Provide audit support including creating and reviewing audit documentation
  • Familiar with FAR audit, close-out audit and other agency audit, and understand the OH rate calculations and how it affect the revenue/profit on projects
  • Assist/perform necessary journal entries and adjustments
  • Support monthly bank reconciliation
  • Maintain up to date technical competencies in generally accepted accounting principles and general corporate tax matters
  • Other duties as assigned/needed
  • Specific Project Accounting and Billing Management/Oversight ---Familiar with contracts for different clients/agencies and very comfortable with project billings
  • Be able to prepare the invoice with billing information and documents gathered and forward to the project manager for review and signature as applicable and work directly with clients and sub-consultants to resolve billing issues
  • Coordinate with project managers on preparing staffing plan approval requests, projections and budget tracking, change orders and other required paperwork on projects
  • Monitor contract budget and advise project managers to request change order as appropriate
  • Remind Practice Leaders to follow-up on pending issues like rates approval, change orders and contract registration, or matters that would delay billing process
  • Manage project account receivables (AR) and payables (AP) and assist Practice Leaders in following up on client receivables
  • Ensure retainages are billed when alerted by Practice Leaders
  • Administer project accounting functions including review of client billing, including ensuring all projects are invoiced monthly and follow up regularly for those that are temporarily behind
  • Monitor project multipliers/OH rates and billing rates closely, and report it to the higher management on time if they are lower than the current basis
  • Develop invoices format to reflect client billing requirement, and ensure all the invoices meet standards and requirements
  • Ensure documents needed for billing such as timesheets, earnings records and expense reports, among others are collected by billing staff
  • Generate monthly reports from the ERP system for billable hours/unbilled hours/hours on hold/write-off hours, stay on top of status of all the issues and report to the higher management as necessary
    Required Qualifications:

    ---Bachelor's Degree in Accounting or Finance
    ---2-3 years of accounting/billing and administrative experience preferably in the architecture, construction or engineering industry
    ---Proficiency with computer applications, including Microsoft Suite and the ERP system (Unanet)
    ---Excellent written and verbal communication skills
    ---Ability to work independently or as part of a team with minimal supervision
    ---Enthusiasm to assume more responsibility and grow with the company

    Estimated Annual Compensation:
    $75,000- $80,000
