POSITION DETAILS ABOUT JOHN JAY COLLEGEJohn Jay College of Criminal Justice is a senior college of the City University of New York (CUNY) located steps from Lincoln Center at the cultural heart of New York City under the leadership of a new president, Karol V. POSITION OVERVIEWThe Budget and Operations Coordinator will enter the Division at a time of growth and creative energy under the Vice President for Enrollment Management and Student Affairs. The Division provides an array of intellectual and experiential opportunities for students to become engaged citizens through its various departments which support enrollment and persistence, student organizations, social events, athletics, theatrical productions, community and service learning opportunities, as well as student support services that enhance their collegiate experience. Reporting to the Chief of Operations for the Division of Enrollment Management and Student Affairs, the successful candidate will be adaptable to working with and provide effective business communication to all levels of JJC faculty, administrative staff as well as vendor and other outside entities. In addition to the CUNY Title Overview, this position may require occasional weekend and evening work as well as the following duties: * Assist in preparing and implementing of the Division of Enrollment Management and Student Affairs budget processing and operations planning activities. * Process and maintain data in budget, procurement, and other operational systems. * Maintain systems to track spending for different sources of funds (e.g. tax levy, non-tax levy, Research Foundation). * Monitor financial commitments made to various programs, group and committees, ensuring that resources are made available according to the current fiscal year's budget allocations. * Assist in analyzing financial information and reconciliations to support decisions regarding resource allocations and operational planning. * Work closely with the college's housing program and other pertinent parties to review and resolve outstanding student housing balances. * Coordinates with various departments on budget and operational matters as directed by Chief of Operations. QUALIFICATIONS Bachelor's Degree required. OTHER QUALIFICATIONSThe successful candidate will have the following experience, knowledge, skills and abilities: * Public sector budgeting experience, preferred. * Strong work ethic and character with a high degree of personal integrity to work with discretion and maintain confidentiality. * Be team-oriented and goal-oriented with the ability to simplify, identify, and follow-trough multiply priorities in a deadline driven environment. * Articulate, highly resourceful, flexible, well-organized, detail-oriented and accurate with strong analytical skills. * Effective writing, editing, oral and interpersonal communication and presentation skills. * Proficiency using Microsoft Excel, Word, PowerPoint, Oracle/People Soft software. * Experience with QuickBooks a plus. CUNY TITLE OVERVIEW Supports projects, initiatives, and activities that impact an academic or administrative department. * Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. * Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. * Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. * Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. * Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. * Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. * May supervise office staff and student workers. * Performs related duties as assigned.
