  • Answer and direct incoming calls throughout the day
  • Assure the sliding barn door and terrace access door are locked/unlocked according to office hours
  • Assure the switchboard is opened promptly at 8:30 AM and shut down no earlier than 6 PM
  • Update and maintain employee phone list with accurate contact information
  • Greet and welcome visitors in a friendly manner
  • Submit building guests for clearance to building security
  • Accept and maintain a log of all messenger, UPS, USPS and FedEx packages
  • Send department welcome emails to all new hires
  • Arrange messenger services for outgoing and oncoming packages
  • Manage assigned employees expenses through the creation and submission of expense reports in a timely manner and payment tracking
  • Arrange all aspects of travel, keep travel profiles up-to-date, manage approvals for travel, arrange flights, hotels, rental car and car service, currency exchange using agency and online services, and prepare all itineraries
  • Provide administrative support for agency senior leadership: manage schedules, handle meeting conflicts and prioritization issues, plan and coordinate meetings/events/ conference calls with high-level vendor and client executives, book conference rooms, request catering
  • Proof all outgoing communications (internal and external) to ensure all details are provided, if financial information is listed that all numbers are correct, the communication is clear, correct spelling and grammar, etc.
  • Clearly focus on tasks, articulate and present a professional image of the organization whether in-person or on the phone. May need to assist with correspondence which may sometimes require finesse
  • Assist in preparation, edits and updates of presentations utilizing Microsoft Office suite, especially PowerPoint
  • Provide administrative support for NY Office Services team
  • Cover Office Services colleagues responsibilities in their absence
  • Assist agency staff with events and various special projects as needed
  • All other duties as assigned
    • Proven successes in an administrative role with a minimum of 1+ years of professional experience
    • Bachelors Degree or in active pursuit of same preferred
    • Previous agency experience preferred
    • Strong computer skills including Microsoft Word, Excel, Outlook and PowerPoint; must be very strong and comfortable with PowerPoint
    • Exceptional interpersonal and communication skills (verbal and written)
    • Excellent time management and organizational skills; must be detail oriented
    • Demonstrates ability to effectively manage multiple tasks simultaneously with minimal supervision
    • Must be customer service oriented, diplomatic, motivated, and able to work and problem solve resourcefully and independently but know when to ask for help
    • Adaptive to changing environments; has a can do approach to work
    • Is excited and motivated by working in a fast-paced, fun environment
    • Flexibility to work extended hours as needed
