The Role

We are seeking a motivated, experienced Senior Receptionist/Office Coordinator to join our growing organization. In this position, you will play a key role in supporting our company's workflow as the link between various departments, employees, and vendors. You will be responsible for maintaining an organized front office and helping to support the Head of Office Management with the smooth-running of the studio and assisting other employees as needed. The role includes supervision and implementation of our client hospitality provision, the day-to-day facilities management and the supervision of Reception & Hospitality staff as part of a team.

The role will include supervising the Reception facilities, including managing Receptionists and any hospitality support staff. You'll assist with greeting visitors to the office and accompany visitors to meeting room or hand over to the team, showcasing first class customer service at all times. Internally, you'll manage the inventory of office supplies, liaising and coordinating with outside contractors and directing incoming and outgoing mail effectively.

You'll also be supporting the Head of Office Management, performing general administrative, clerical, and executive support tasks and collaborating to devise and implement strategic administrative and process improvements for the studio. You'll oversee expenditures connected with the role and provide expenses reconciliation and control to manage the budget at Reception. Furthermore, you'll be the go-to for any ad hoc issues around the studio, from lost keys to general maintenance.


The ideal candidate will:

  • Have 2-3 years of proven experience working on Reception or in support roles for office coordination and management.
  • Have excellent written and verbal communication skills.
  • Be proactive and anticipate issues before they arise, and use effective problem solving skills when they do.
  • Be flexible, highly organized and detail-oriented.
  • Be confident dealing with internal staff and external clients alike, providing first class customer service always.
