The Receptionist will provide courteous and efficient facilitation of internal and external telephone communications. The Receptionist will also provide administrative support and coordinate work flow for Management/Department as needed.

Job Description

Duties & Responsibilities:
--- Answer telephones in a prompt & professional manner; transfer incoming calls to appropriate parties or voicemail
--- Meet and greet clients and guests
--- Daily interaction with high level clients & executives, handling special requests as needed
--- Provide phone coverage when needed for the office of the CEO, President & other executive level employees
--- Communicate directly with vendors for all requests when directed
--- Maintain reception area, ensuring a tidy & organized appearance at all times
--- Provide back up support to other members within the human resources and facilities departments
--- Assist with composing correspondence, providing assistance, and other administrative duties
--- Heavy calendar management using Microsoft Outlook which includes the scheduling of appointments and the booking of conference rooms
--- Order supplies
--- Make extensive travel arrangements using the American Express Concur Travel and Expense Program
--- Create expense reports for members of investment team using the American Express Concur Travel and Expense Program
--- Generate reports using Microsoft Excel
--- Create PowerPoint presentations
--- Serve as a liaison with other departments as needed
--- Take initiative to ensure a smoothly operating facility
--- Support staff in special projects
--- Assist with escorting office guests into conference rooms


--- 2+ years corporate experience as a receptionist in a Financial Services firm preferred
--- Undergraduate Degree or an equivalent combination of training and experience preferable
--- Organized, professional demeanor and experience working in a fast paced environment
--- Must be flexible with regard to hours and be able to occasionally exchange shifts with other receptionist, shifts can run between 8:00 am -- 6:00 pm
--- Position will require mandatory over time
--- Professional, well-polished attire at all times

--- Individual must be detail oriented and able to multi-task
--- Positive can-do attitude
--- Fastidious in all aspects of the position
--- Strong communication skills are essential
--- Superior time management skills
--- Must be able to work with minimal supervision
--- American Express Concur Travel and Expense Program experience preferred
--- Proficiency with Microsoft Office Suite, particularly Microsoft Outlook
--- Intermediate typing skills needed
--- Must be able to meet deadlines
--- Flexibility to work extended hours as needed

Additional Information

Salary base up to 55k + paid o/t + y/e bonus
