Job Description:
HANAC, Inc. originally founded by George Douris as the Hellenic
American Neighborhood Action Committee is a New York City-based
multi-faceted social services organization. The organization was
founded in 1972 to serve the needs of vulnerable populations
throughout New York City. The Administrative/Office Manager will
work with Executive Director and other key colleagues across the
business to ensure high quality, focused programming, planning, and
execution of the Executive Directors' events for his/her key
leadership and management teams.Responsibilities for Office
Manager
- Oversee and support all administrative duties in the office and
ensure that office is operating smoothly including maintaining
appointment schedules, screening all calls, and performing all
clerical duties
- Manage office supplies inventory and place orders as
necessary
- Perform receptionist duties: greet visitors, and answer and
direct phone calls
- Receive and sort incoming mail and deliveries, and manage
outgoing mail
- Develop office policies and procedures, and ensure they are
implemented appropriately
- Assist with office layout planning and office moves, and with
managing and maintaining IT infrastructure
- Coordinate with the IT department on all office equipment
- Manage office budget
- Identify opportunities for process and office management
improvements, and design and implement new systems
- Provide other administrative support as necessary, including
scheduling group meetings, maintaining calendars, doing research,
and creating reports
- Coordinate schedules, appointments, and bookings
- Coordinate office staff activities to ensure maximum
efficiency
- Provide all programs with updated liability, worker comp, and
disability certificates
- Coordinate and set up all phone services and extensions for new
hire
- Liaison between Board of Directors, Board Officer, and
Executive Director.
- Coordinate and prepare the Board of Directors meetings.
- Assist Executive Director with the preparation of the Agenda
for meetings.
- Prepare and execute all Board of Directors mailings.
- Coordinate and assign (credit card) payments to each
program.
- Responsible for handling confidential documents.
- Complete work assignments and reports on time such as
responding to letters, e-mails, and calls in a timely manner.
- Support Management, Program Directors, and Fiscal Department
with records retrieval, documents, and other information as
requested
- Develop communication pieces for Councilmembers or funding
sources as needed
- Prepare and submit all HANACs Programs Waivers
Certificates
- Open and close Bank Accounts for programs and for HANACs
tenants as needed
- Keep HANAC and its affiliate companies in compliance with
government requirements
- Submit NYC and NYS semiannual reports
- Coordinate HANAC fundraising events including the
GALAQualifications for Office Manager
- Bachelor's degree in business administration, communications,
or a related field
- 2 - 5 years of work experience in an administrative/office
management role
- Must have exceptional attention to detail
- Strong organizational and time management skills, and the
ability to prioritize
- Must be a self-starter and driven
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
- Must be proficient with Microsoft Office (Word, Excel,
