Job Description:
Comunilife is looking to fill a vacancy for Administrative
Assistant in their Prospect Residence program in the Bronx. The
Administrative Assistant is responsible for the office
administrative functions of the congregate housing program
including maintaining leases, client entitlements, answering
telephones, and typing memorandums. The Administrative Assistant
develops, modifies, improves and implements procurement policies
and procedures, orders offices supplies, and prepares and maintains
related program Office reports/records. Reports to the Assistant
Director, Clinical Supervisor or Program Director. This position is
eligible to participate in Comunilife's generous benefit package
and paid time off benefits. The salary range for this position is
between $16.00 and $16.90 per hour.Essential Functions:Screen all
incoming calls and respond to routine inquiries.Prepare minutes of
meetings, notices, special reports, correspondence and packaging of
resource material as required, for various program
activities.Establish and maintain an organized filing systems
record all contracts, proposals program files, correspondence,
documents and reports.Assist in material preparation and logistics
for program meetings.Update and maintain various resources and
mailing lists. Maintain client entitlements, leases, and other
fiscal functions.Review, sort, distribute and respond to daily
incoming mail for Assistant Director.Prepare transmittal office
supplies and purchases from hardware store and other vendors.
Follows Comunilife procurement and petty cash procedures.Prepare
the purchase orders for the office supplies, as needed and client
needs as directed by the Assistant Director.Operate a computer to
enter, retrieve, review, or modify data; utilizing word
processing,database, and software programs. Performs other duties
as assigned. Skills and Qualifications:Minimum High School Diploma
with strong computer skillsBilingual in Spanish/English a plus.
Experience in HIV/AIDS adult population, health and/or human
service environment, bilingual (Spanish) preferred. Knowledge of
HIV/AIDS, homeless related information and issues, a plus.Solid
understanding of office management, administrative and secretarial
methods and practices a must. Requires the ability to perform
addition, subtraction, multiplication, and division; ability to
calculate decimals and percentages; may require ability to utilize
principles of fractions and/or interpret graphs.Requires to ability
to carry out instructions furnished in written, oral, or
diagrammatic form. Involves semi-routine standardized work with
some latitude of independent judgment concerning choices of action.
Ability to handle confidential information with discretion and
integrity a must. Attention to detail a must. Good time management
skills required.Work well in a team environment and experience
working with a diverse group of people, good customer orientation,
and hardworking.Clear written and verbal communication skills, and
ability to organize and write procedures in a logical/methodical
manner. Well-developed administrative skills. Proficient in
Microsoft Word, Excel and other commonly used software.Comunilife
