Job Description:

Our client, a reputable finance firm,is looking to hirean Administrative Manager to handle functions involved in the operations of their administrative staff and ongoing support of the financial staff.Acting in a management capacity, the candidate will oversee 50+ direct reports from various offices throughout the US and will perform tasks necessary to keep the administrative functions in each group running smoothly, such as recruiting and onboarding, ensuring proper training, resource coordination, mentoring, and ensuring proper support for each team. The ideal candidate should have impeccable time management skills, be organized and possess strong business judgement and effective communication skills. A high level of professionalism and discretion will also be critical. The ideal candidate will have a positive attitude and an ability to be a mentor and resource for the group.


  • Manage timecards for administrative employees which includes approving weekly timesheets electronically, overseeing time off requests, managing overtime, and making corrections
  • Ensure company and business policies are being adhered to
  • Identify opportunities to improve policies or objectives
  • Prepare and deliver reviews for all direct reports
  • Prepare and reviewing operational reports
  • Lead and participate in monthly administrative meetings
  • Key role in the implementation of administrative initiatives
  • Address issues/concerns of the administrative staff
  • Collaborate with the local Office Manager to ensure all admin absences/vacations are covered
  • Aid in creating and upholding the Administrative Career Track
  • Interview and hire for new roles and replacement roles for administrative staff and assist in a smooth transition of responsibilities
  • Onboarding/offboarding for direct reports
  • Planning morale and team building/training events for the administrative staff


    • Bachelor's degree and/or 5+ years in a professional services firm, preferably in the finance industry
    • A solid understanding of experience and expertise in employee management, project management and Human Resources
    • High level of proficiency with MS Office, including Excel, Word, PowerPoint, Outlook, and internet applications
    • Excellent ability to develop and foster relationships with internal and external partners
    • Strong problem-solving skills and an ability to think strategically on the spot
    • Strong written and verbal communication skills
    • Meticulous attention to detail and pride in ownership
    • Excellent interpersonal skills and the ability to interact with all levels of management
    • Exceptional ability to manage multiple projects with varying priority at one time - to deliver results on time
    • Proactive approach to executing new projects
    • Must be a self-motivated and results-oriented person
    • Flexibility - an ability to adapt to a rapidly changing market

      (DOE) + Discretionary Bonus + Benefits

      8:30/9:00am-5:30/6:00pm (DOE) + Flexibility as needed
