Job Description:

Job DescriptionConsulting Company is seeking a Front Desk Coordinator for our New York City office. The Front Desk Coordinator’s main responsibility is to field all incoming telephone calls. In addition, the Front Desk Coordinator provides administrative support to HR. Duties and responsibilities include, but are not limited to:

  • Answer/route all telephone calls.
  • Responsible for sending out faxes and distributing incoming faxes.
  • Distribute postal mail.
  • Distribute incoming messenger/overnight deliveries.
  • Maintain overnight mail supplies.
  • Responsible for all OPTS messenger requests.
  • Create overnight air bills (Fed Ex Ship).
  • Responsible for the maintenance/inventory/order of office and pantry supplies.
  • Apply metered postage to all outgoing mail and drop off mail daily.
  • Maintain corporate contact list on OPTS.
  • Book messenger pick-up/deliveries into QB A/P module.
  • Book federal express (overnight) services into QB A/P module.
  • Assist with clerical duties as needed, i.e. filing.
  • Maintain Master Project Log, i.e. assign Project Numbers in OPTS.
  • Add Project Information to OPTS (Including project activities).
  • Process change orders through OPTS.
  • Assist administrators with proposals as needed.
  • Create Project Folder and distribute for assignment in OPTS. REQUIRED SKILLS & EXPERIENCE:
    • High school diploma or equivalent. College grad preferred.
    • 2+ years of front desk experience. Excellent written and verbal communications skills.
    • Attention to detail and follow-up.
    • Proficient with MS Office.
    • Teamwork and strong inter-personal skills.
    • Hands-on, can-do attitude.
    • Comfortable in a fast-paced, less-structured, entrepreneurial environment.
