Job Description:

MAJOR DUTIES Handles day-to-day, routine clerical--responsibilities including answering phones, handling inquiries, greeting visitors, and handling routine correspondence.Makes all travel arrangements via online--system in accordance with Firm and department policy.Maintains calendar; schedules--appointments and meetings/conference calls as needed; prepares agendas and--makes arrangements for meetings.Processes all expense reports via--Corporate Accounting electronic expense system in accordance with Firm and--department policy.Inputs--client information into contact management database (i.e.Charm) and manages--updates for group.Handles--highly confidential information with utmost discretion.Assists with client conferences in--preparing collateral material, scheduling appointments, etc.-- May also attend conferences to assist with coordination of events, meetings, etc.May organize and--coordinate client entertainment functions/events.Prepares invoices,--reports, memos, letters, financial statements and other documents, using --MicroSoft Office Word, Excel,--Powerpoint,etc.Sets up, organizes, and maintains paper and electronic filing systems for records, correspondence, and other--material including off-site storage, as needed in a logical and easily--retrievable manner.Establishes and--maintains interpersonal relationships; develops constructive and----cooperative working relationships with others.Orders and ensures adequate and--appropriate supplies are available for the departmentReads and analyzes--incoming memos, submissions, and reports to determine their significance--and plan their distribution.--May assist in various projects ADDITIONAL QUALIFICATIONS Minimum 4 years of administrative support work experience, preferably for a senior member of management;-- brokerage firm experience preferred.Excellent verbal and written communication skills.Bilingual (English/Spanish) highly preferred . Effective interpersonal skills and ability to work within a team.Ability to multi task in a high paced work environment.Working-- knowledge of Microsoft Office suite, including Word , Excel, OutlookInterpersonal and communication - Develops constructive and cooperative working relationships with others, and maintains them over time; comfortable dealing with associates and clients of all levels.--Critical Thinking & Problem Solving-- - Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems, combines pieces of information to form general rules or conclusions, and makes recommendations or applies these rules to specific problems, producing answers that make sense.Problem Sensitivity - Recognizes when something is wrong or is likely to go wrong; also skilled at finding and using traditional and creative methods of solving the problem.Time Management - Manages one's own time, priorities and deadlines under pressure while accomplishing goals and respecting the time of others.Communication - Communicates effectively (both written and verbal) on the phone and in person as appropriate for the needs of the audience; uses excellent grammar and possess courteous and efficient phone and office etiquette; effectively conveys information.Customer Service - provides exemplary customer service and support; actively looks for ways to help customers and be responsive in a timely manner.A team player with the ability and desire to interact in a team environment and collaborate with others, but is also able to work independently and have the ability to adapt to change, adjust to multiple and shifting priorities and coordinate and balance multiple tasks.Integrity and a positive attitude; a self-starter demonstrating initiative while effectively adapting to change.
