Working independently, under the very general direction of the Administrative Manager, the program assistant & events coordinator provides front line administrative support for faculty, staff and students of the Latina/o Studies Program and Latinx Student Success Office. Greet visitors, answer and screen incoming calls, respond to inquiries and refer as appropriate, maintain LSP list serve. Provide excellent customer service which includes anticipating the needs of students, faculty, program manager and director and provide accurate and timely responses. Provides marketing and operational support for LSP/LSSO programming events. As program events coordinator assist with marketing, reserve venues, organize menus and logistics with caterers, and attends to event details. Provide a variety of support services: Prepare correspondence, electronic newsletter, brochures, posters, create and maintain databases. Dispense pertinent information, and be a point of reference for Cornell and the community. Create and design marketing materials and coordinate arrangements for events/programs. Design, maintain, and update website. Coordinate course file management (i.e. process desk copies, text book orders, AV requests, annual report course database, electronic course evaluation for LSP parented courses). Oversee conference room reservation requests. Recommend creative solutions to problems i.e., direct students that are in distress to the appropriate support office and make direct contact with offices beforehand; resolve double booking of conference room; suggest ways to improve efficiency in the workplace. Maintain an up to date LSP staff procedures manual. Develop and maintain excellent working relationships throughout the University and with off-campus entities. Maintain key logs. Sort and distribute mail. Assist in the organization of programming/speaker series: LSSO Thrive Series, Unity Dinner, receptions, Friday with Faculty seminar series. Assist Program Manager with academic searches. Maintain extensive library resources, list-serves, and mailing lists. Supervise 16 - 20 student interns. Monitor office supplies and coordinate purchasing and financial transactions using E-shop, procurement card. Oversee program photo copying procedures. Assist students with net print and troubleshoot printer malfunction in computer lab that houses eight computers and two laser printers. Replace printer cartridges and load printers. Assist faculty with software/computer questions and log tickets into remedy IT system if needed. This position is benefits eligible 30 hours/week, 10 months/year (8 weeks off mid-June thru mid-August). Qualifications: High School Diploma; more than 2 years and less than 4 years relevant experience or equivalent combination. Must possess or have ability to quickly learn effective computer software including: MAC hardware/software platforms (i.e., Microsoft Word, FileMaker, Photoshop, Excel, PowerPoint) and on line University web-based systems (i.e., Workday, PeopleSoft, Outlook, Brio, Lyris, CCI, e-Shop, Drupal, Blackboard/Canvas, Electronic mail/calendars.) Ability to work independently under the very general direction of the Program Manager. Specific qualifications include sensitivity to a culturally diverse student body and possess a professional demeanor. Must be detailed oriented and able to work under pressure to balance multiple tasks. Ability to set priorities, meet deadlines, and follow through on projects. Ability to troubleshoot, adapt to change. Must possess, or have ability to quickly learn, working knowledge of Facebook, Twitter, Instagram. Ability to speak and read Spanish is desired, but not required. Familiarity with Cornell is helpful. Applications will be accepted through Thursday, October 31st.
