Position Overview This position provides critical, day-to-day administrative support for an executive including but not limited to calendar management, travel arrangements, tracking & submission of expenses, creating & updating documents, supporting with presentations, and communicating with a host of internal colleagues & external partners. The position resides within a fast-paced environment where multi-tasking, juggling and managing a number of discrete tasks are critical to success. Essential_Duties_&_Responsibilities o Support administrative and communication needs of Senior Vice President which includes, but is not limited to, managing phone messages, handling outlook calendar and ensuring executives contacts, organizational charts and other key information is always updated. o Prepare written materials as requested, i.e. memos, meeting agendas. o Schedule domestic and international travel for SVP as needed. o Handle timely submission & tracking of expenses on each executive s Corporate credit card with Accounts Payable; this involves ensuring timely approval of expenses by executive s manager. o Support RL Library Archives o Support PR team by monitoring and analyzing daily RL major brand, fashion and corporate moments and flagging when necessary. o Assist in creating, organizing and maintaining running coverage recaps for PR & Brand Communications moments. o Help to manage the Ralph Lauren Press Inbox and route requests appropriately. o Coordinate product seeding and gifting for multiple brand initiatives. o Support department internship program o Support distribution of key editorial distribution to key executives o Manage magazine library maintenance o Manage team budget and code invoices o Order supplies for team Experience,_Skills_&_Knowledge o College Degree o Strong internship or professional experience in public relations o Highly motivated and willingness to learn o Proactive o Team player with strong social skills o Ability to function a fast-paced environment o Exceptional organizational skills follow through and attention to detail. o Self-confidence balanced with respect in dealing with people at all levels. o Confident and poised with good judgment and understanding of when to resolve something independently versus when to ask for guidance.
