Creative Fragrance AdministratorLocation: East Hanover, NJ (Ridgedale)Key DeliverablesProvide administrative support to the Development teamCore Responsibilities* Prepare & set up smelling sessions for respective category teams, including fabric care, air care, and home care. This could include preparing laundry and kits as well as the necessary documents and supporting the laundry room as additional back-up support as needed.* Assist Development team in administrative activities such as: PowerPoint support, creating spreadsheets, creating and applying labels, ordering supplies, library updates, setting up meetings, coordinate brand review file---* Coordinate and run internal panel tests: set up (including gathering supplies from labs, switching out towels half way through when needed, labeling booths when needed and ensuring they are running properly, clean up), facilitate panels, and preparing results in appropriate format to be submitted to client---* Order or shop for new products and various market products as needed* Project assistance: enter projects, exceptionally enter sample / application requests, track oils, liaise with the labs, sample pickup and delivery---* Enter GC Requests & bring product to GC lab* Follow up and coordinating samples* Maintain the brand review file* Work cohesively and coordinate across various internal departments, such as Creative Fragrance product groups, Perfumery, Marketing and Market Research* Coordinating new launch washes and smelling sessions* Market Product tracking and pour offs - i.e. samples to ship to client, samples for testing (internal & external)* Exceptionally, assist with external CMI testing - i.e. assembling/organizing products (detergent, towels---)* Coordinate, track and share all new Fine Fragrance launches* Assist our marketing team in marketing related tasks such as but not limited to desk research, updating brand portfolios, database management/organization, data-entry, new launches, updating and/or creating fragrance maps, fragrance passport sheets with images, help putting kits together---* Other administrative tasks as needed such as Locating for products and making sure they are back on their shelves after a presentation or inspiration session...Functional Skills & Competencies* Strong organizational and time management skills* Detail and quality oriented* Excellent interpersonal skills with the ability to work well with individuals at all levels at Givaudan* Excellent judgment, discretion and demonstrated ability to make appropriate decisions as needed* Strong ability to work under pressure in a fast paced and demanding environment* Self-motivated and ability to work autonomously* Flexible disposition, resourceful* Sense of urgencyPrimary Qualifications (education / experience)* Bachelor's Degree* A minimum of 2 years of administration experience preferred, ideally in the fragrance/cosmetic business* Strong administrative & computer skills including MS Word, Excel & PowerPointAt Givaudan, you contribute to delightful taste and scent experiences that touch people's lives.You work within an inspiring teamwork culture - where you can thrive, collaborate and learn from other talented and passionate people across disciplines, regions and divisions.Join us and Impact Your WorldDiversity drives innovation and creates closer connections with our employees, customers and partners.Givaudan embraces diversity and is committed to building an inclusive environment where everyone impacts our world.
