Job Description:

EXECUTIVE ASSISTANT / OFFICE MANAGERThe Executive Assistant / Office Manager will report directly to the President & CEO of the Company and provide administrative and office support covering a wide array of functions and tasks as requested.

Responsibilities (include but not limited to):

Complete a broad variety of administrative tasks including managing dynamic and complex calendars of appointments/meetings; composing and preparing correspondence that is often highly confidential; arranging complex corporate meetings by developing itineraries and agendas. Review correspondence and communications; respond directly on behalf of the CEO; flag communications requiring attention or identifying the right person in the Company to respond.
Working collaboratively with other administrative staff to schedule phone coverage, training, and miscellaneous data entry tasks.
Manage office supply and equipment budgets, as well as own vendor relationships (food delivery, supply ordering, and equipment providers).
Greet office visitors and handle deliveries to President/CEO.
In conjunction with building management, ensure a comfortable, clean, and safe work environment.
Maintain office supply stock and food pantry.
Assist with employee onboarding for office employees by identifying desk, prepping space and gathering supplies for new office hires.
Monitor and track attendance and time off for office staff.
Ensure office conference rooms and common spaces are clean and organized prior to and following meetings.
Maintain and improve office tidiness and organization to create an efficient workplace.

Knowledge, Skills & Abilities:

Exceptionally organized with keen attention to detail with the ability to shift focus and priorities when necessary under pressure and within deadlines.
Highly intelligent, flexible and self-reliant with outstanding verbal and written communication skills.
Strong work ethic and ability to thrive in a fast-paced environment with changing and competing priorities
Energetic, enthusiastic and interested in learning within a fast-paced, fast-growth organization
Advanced MS Office skills. Must be tech savvy.
Managing day to day activities, time commitments and priorities as needed
Prioritize conflicting needs; handle matters expeditiously, proactively, with follow-through on projects to ensure successful completion, often with deadline pressures.
