The Business Manager is responsible for providing leadership support and overall administrative direction for an academic clinical department which includes the management of non-physician staff. In conjunction with the leadership of the Department, School of Medicine and Hospital, develops and implements strategic goals related to management of the department, program development and related operational, staffing, and financial issues. Develops and coordinates new programs and oversees their management.Job Responsibilities:Financial Management: Forecasts, prepares, oversees and maintains operating budget and capital budget for the Department. Monitors spending for department: grants and contracts, all SOM funds, FGP funds, and Hospital funds which support the faculty and programs. Monitors faculty and non-faculty salaries, increase programs, and department payroll. Reviews monthly reports and works closely with faculty and--financial analyst to ensure financial compliance of grants and contracts. Works with analyst to prepare month end journal entries and support documentation to upload.Financial Analysis: Compiles and prepares reports based on information readily available, verifies, interprets and analyzes information, determines report format, identifies discrepancies and makes corrections. Makes recommendations for corrective action or improvement as needed. Reviews financial report summaries of all accounts on a monthly basis and identifies variances. Produces regular and ad hoc reports for departments leadership team or as requested from corporate service area such as FGP, Budgets, Finance, SPA, etcGrants Management:-- Prepares grants applications, budgets and forms and reviews items for compliance with Federal and other sponsor program files and guidelines.-- Prepares non scientific portion of the NIH and non governmental grants and fellowship applications. Works closely with faculty/PI and SPA to ensure timely submission of grants and contracts.-- Disseminates and discusses policies and procedures with faculty, investigators, and staff. Provides spreadsheets with budgets and revised budgets, send summary reports to PIs, the Director for Research and Department Administrator.Addresses Sponsor issues:-- governmental, institutional and funding agency regulations, and follows up with investigators/PI and faculty.-- Analyzes grant funding and non-grant funding sources to ensure time-limited funds are optimally utilized. Monitors expenses related to grants, contracts and discretionary and recruitment and research accounts in order to update funds available on a monthly basis. Approve all financial transactions for each faculty members' research portfolio to ensure complianceWorks with department leadership to coordinate moves, adds, renovations to optimize use of space and acquisition of equipment.Various Project Work: Works on department review: written narrative, updates charts, figures, accounts with balances, grants, past and present faculty data. May negotiate minor contracts; participates on institutional committees as requested. Serves as project manager on projects which crisscross departments clinical research and educational missions and involving various staff and facultyCommunications:-- Design and prepare departmental communications across all mission areas.-- Assist with crafting and disseminating departmental communications and messaging to ensure consistency, effectiveness and awareness both to internal and external audiences.-- Maintain departmental website including collecting updated content.Coordination of Office: Works with HR, Payroll, and Immigration Affairs to ensure compliance with institutional policies and procedures. Manages all administrative functions, coordinates daily operations, and facilitates the communication of any changes to department wide policies and procedures. Responsible for purchasing; liaisons and facilitates items with SOM, MCIT, Financial Services and Space Planning, RED+F and other central SOM and Hospital offices. Serves as liaison, point of contact and information to payroll and HR for faculty and staff issues.Performs other job duties as assignedMinimum Qualifications:Bachelor's Degree required in business, economics, health care administration or related field At least 3-5 years of progressive supervisory experience in an academic medical centerExcellent financial analysis and analytical skills, budgeting, and forecasting skills and use of MS Excel, PowerPoint, and Word Excellent written and oral communication and presentation skills Ability to maintain confidentiality of information and uses good judgment and discretion in dealing with sensitive mattersPreferred Qualifications:Master in Business Administration (M.B.A.), or equivalent combination of experience and education, with progressive leadership experience in an academic medical center or similar organization. Excellent budget, cost control skills, organization skills and a management style which develops a good working relationship and communication within the Department and the NYUSOM administrative departments. Analytical, organizational, and verbal and written communication skills required to interact successfully with professional groups and committees. Candidate must have a proven ability to work in a fast-paced environment and manage several projects simultaneously, and handle confidential information. Intermediate to advanced skills with Microsoft Office Suite especially Excel, ledger reports, and preferably PeopleSoft tools.Qualified candidates must be able to effectively communicate with all levels of the organization.NYU Grossman School of Medicine provides its staff with far more than just a place to work.
