We have an exciting opportunity to join our team as a Assistant Operations Manager.

In this role, the successful candidate Assists the operational leadership and administrative coordination for the delivery of clinical services and programs provided by the Department of Orthopedic Surgery.Job Responsibilities:

  • Assists the Operations manager as needed. In the absence of the Operations Manager, assumes responsibility for department operations including 10 divisions and 10 FGP areas and their day to day needs and or high level initiatives.
  • Demonstrates knowledge of the organization's Core values and Customer service principles and incorporates them into the performance of duties.
  • Directly supervises and coordinates the Divisional medical secretaries including administrative, billing, customer service and connection to provider productivity (office and surgery activity). Oversees clerical 8U Hand Center staff which includes front desk and medical secretaries/surgery coordinators. Assists with sponsored employees. Partners with supervisor of Medical assistants (MA). Contributes to creating weekly staffing coverage schedules including intake and provider offices. Monitors and evaluates workflow and productivity of staff to ensure maximum efficiency. In addition, creates opportunities and find solutions to area or practice issues. Recommends to Operations Manager opportunities to improve operations.
  • Assists with oversight and coordination of Medical records team (FTE N=2).
  • Assists in development of department meeting. Responsible for conference call on behalf of department. Specifically, participates and or initiates meetings linked to Surgery coordination or Pre Admission testing (PAT).
  • Acts as liaison between providers offices and PAT (their initiatives), per-operative teams and care coordinator teams.
  • Oversees new employee orientation and training; documents and maintains confidential personnel records; and performs progressive discipline, as needed. Mentors supervisory staff.
  • Ensures staff meet goals of department mission, objectives and goals. Prepares annual performance evaluations and development plans to foster and promote employee professional growth and achievement.
  • Embraces change management and conflict resolution that fosters positive department growth and stability
  • Assists with department metrics specifically surgery volume, surgery billing charge lag, and Epic error work queues. Manage and oversees department dictation system and error work queue. Assists with management, resolve and response to other department and or Faculty Group Practice(FGP) reports.
  • Assists with department EPIC needs including access, setup and problem solving. This includes other system key to the department e.g. People soft financials access, MyTime and InquiryMinimum Qualifications:
    To qualify you must have a Bachelor degreePreferred Qualifications:
    Masters degree or equivalent. Previous management or supervisory experience at least 1-2 yearsQualified candidates must be able to effectively communicate with all levels of the organization.
