Job Description:

Position Purpose

The Assistant Manager is responsible for the management and coordination of administrative operations at the location to which he/she is assigned.

Essential Duties and Responsibilities

Specific duties and responsibilities include the following but the individual will also be expected to perform all the duties necessary which are customarily performed by a person holding this position. - Other duties may be assigned.

* Responsible for managing the reception desk* Supervises the arrival and departure of students

* Greets parents, students and prospective clients in a courteous and professional manner

* Answers the phone and directs calls or messages appropriately and efficiently

* Collects phone system messages and processes them appropriately

* Keeps current on B2R curriculum, pricing, rules and regulations

* Assists with the management of complex schedules of classes, staff, faculty and students via the Harmony Gateway System.** Works with the B2R School Director and other director staff in monitoring the student and faculty schedule to assure the timely delivery of instructional programs

* Enters schedules of classes, camps and lessons into Harmony

* Enters student data into Harmony

* Processes daily renewals and billing

* Prepares enrollment reports

* Processes schedule changes

* Shares responsibility with the B2R School Director for -the timely opening and closing of the site

* Trains receptionists

* Assists the Director with student recruitment and retention for private lessons, bands, classes

* Assists the Director in administering the site's payroll, billing, collections and retail sales

* Orders supplies for site

* Shares responsibilities with the Director for the -site and equipment being cleaned, organized, and repaired at all times

* Assist the School Director to recruit, hire, manage and evaluate administrative assistants

* Recruit, hire, manage and evaluate site staff and teaching faculty in collaboration with the director

* Maintains the on-site computer system and phone system greetings as needed

* Shares responsibility with the site director for the operation and maintenance of the School's retail activities, including inventory, sales, customer service, etc.

* Teaches private lessons, jams, and parties, etc., as needed with the approval of the Director

Knowledge and Abilities -

* A deep interest in music and music education

* Musical training beyond the amateur level in at least one instrument is preferred but not required

* Ability to interface successfully with the public

* Strong interpersonal skills are required to facilitate good working relationships with faculty and staff and to interact with students and their parents are required

* Ability to work well with young people

* Ability to communicate effectively with diverse constituents

* Knowledge of - basic accounting and bookkeeping procedures

* Ability to be an efficient problem solver

* Effective time management and organizational skills

* Ability to operate basic office equipment, i.e. telephones, photocopiers and computers

* Adaptable to changes in the workplace

* Ability to work both independently and as a team player

* Ability to use all relevant computer software (Microsoft Office, etc) proficiently, and the ability to learn to use B2R's specialized systems

* Ability to be physically present at the facility during its hours of operation

* Ability to pass a background check

Education and Work Experience and/or Licensure

* Bachelor's degree preferred in a related field (i.e. business, management, music, etc.)

* Record keeping and time tracking experience is required

* Business management and administrative experience is preferred

* Supervisory experience is preferred

Language Skills

* Must be proficient in English speaking and writing skills.

* Additional languages are desirable

Physical Demands

* Ability to sit, stand, walk, travel up and down stairs, crouch, stoop and reach.

* Ability to must be able to lift and move the equipment typically associated with B2R's day-to-day operation, e.g., amplifiers, keyboards, recording equipment, light furniture, etc.
