Job Description:

The Assistant to the Vibe Manager is responsible for support the Hard Rock Hotel Vibe Manager's day-to-day responsibilities, specifically, operational tasks, expanding the department's potential for impact. The Assistant to the Vibe Manager is responsible for supporting the propertys Vibe Manager in tasks related to all aspects of music and culture. This person assists in creating an exceptional climate of guest-oriented service, working to implement brand amenity programs and ensure the effective utilization of music across the property.AUDIO / VISUAL

  • Provide technical & A/V support for the hotel's in-house entertainment
  • Setup and break down pop up DJ and live performances in Sessions, NYY, RT60 and Rock Shop
  • Test, maintain, and clean all Vibe and in-house A/V equipment
  • Assist in facilitating all technical, hospitality & A/V requirements for in house events, bands, DJs, and live performers
  • Keep all DJ Booths, stages, A/V storage, backstage areas, and green rooms clean and organized at-all-timesADMINISTRATIVE
    • Review and summarize VIP Arrivals, Vibe related room traces
    • Assist in organizing and maintaining Vibe Manager daily and weekly schedule
    • Manage and share in-house events and artists/DJ bookings calendar with all relevant departments
    • Create decks, PowerPoint presentations and proposals for in-house events and future programing
    • Organize, maintain, and back up all Vibe Vendor contacts, invoices, budgets, and artist content (i.e., Artist photos, bios, EPK, hotel captured content)
    • Assist in artist liaison communications between Marketing and Vibe Departments
    • Additional contact for emergencies, days off and PTOCONTENT MANAGEMENT
      • Assist in implementing, building, and managing multiple content platforms (i.e., Spotify, Mixcloud) for future Podcasts, DJ Mixes, and Vibe Playlists
      • Transfer all artist assets to Marketing team to streamline promotional opportunities
      • Work on setting up GigWell to ensure all bookings are current and completeSOUND OF YOUR STAY
        • Maintain and update the monthly SOYS waitlist
        • Clean, upkeep, and inventory all SOYS instruments (i.e., acoustic, electric guitars, electric bass, ukulele, turntables, and vinyl records)
        • Deliver SOYS requests to Front Desk in a timely manner
        • Pick up SOYS equipment from front desk and return back into SOYS inventory
        • Ensure all equipment is properly tuned and in working orderHOSPITALITY
          • Assist in all hospitality runs when needed
          • Assist in green room setups and breakdowns
          • Consolidate and update artist hospitality riders with Vibe and Production Mangers
          • Work with Vibe Manger to create SOPs for basic and VIP green room amenitiesGENERAL DUTIES
            • Ensure the facilities, equipment and offices under your supervision are maintained in excellent condition
            • Maximize the use of available technology and systems to get results. (i.e., HotSOS, Opera)
            • Ensure all band members under your supervision are scheduled in accordance with business needs
            • Constantly seek to understand your target market, and their expectations of the hotelentertainment program
              • Assist in the operation at peak times and any other times business needs require your hands on assistance
              • Work together with Finance to organize vendors in the departments under your supervision
              • Be visible in the operation and ensure implementation of brand standards
              • Co-operate with all other departments and keep them informed of changes in your department that will directly affect them
              • Ensure that all guests requests, complaints, and enquiries are followed up correctly and promptly, according to hotel guidelines
              • Represent the Vibe Manager in his/her absence for all Vibe service-related matters
              • Monitor operations to ensure consistent sequence of service is followed and all brand standards are properly executed
              • Prepare and execute business plans to ensure the maximization of property performance
              • Develop positive relationships within the business and social community
              • Promote the organization in and out of industry
              • Present a professional image to employees, guests, clients, owners, and investors
              • Coordinate ongoing industry research to detect market trends and related information for development of new strategies and/or concepts/services
              • Generate incremental revenue and brand awareness through the implementation of brand relevant local events and promotions

                • Luxury hotel experience preferred
                • Previous experience in Entertainment Industry Assistant Recreation Manager, Night Club or Resort and Entertainment Venue experience
                • Proficient in Budgeting, Profit & Lost Management and Cost Estimation
                • Management skills in music field
                • Good understanding of music, sound system and lighting
                • Diploma / university graduated in Sound Engineering / Broadcasting / Training / apprenticeship experience in music industry such as: recording company, production house, artist management, radio station, resort, or Amusement Park Venue experience
                • Working knowledge of local hospitality industry and culture; work experience in country preferredSKILLS

                  • Ability to prioritize and work on several projects simultaneously should pose a challenge without being overwhelming
                  • Ability to comprehend and use technical or professional language, either written or spoken, to communicate complex ideas

                  • Ability to effectively present information in one-on-one and small group situations to customers, clients, owners, investors, and employees of the organization
                  • Ability to perform complex quantitative calculations or reasoning
                  • Ability to perform numerical operations using basic counting, adding, subtracting, multiplying, or dividing
                  • Strong command of software applications, especially Microsoft Office (Word, Excel, PowerPoint)
                  • Ability to effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact, and diplomacy
