Job Description:
The ADF, Grants & Expense Management will be joining a Finance
team of 4, including this role, managing an operations budget of
$20M, with four regions and a national office. Reporting to the
Controller, this role is responsible for the grants and expense
management of the organization while also providing direct support
for the annual budget process Controller, MDF, and COO. This key
role will be tasked to create systems better to track our grants
and expense analysis across the organization.Grants Management
- As the finance partner with National and Regional Development
and Program teams, lead the creation of grant proposals, grant
reporting and identify opportunities for fundable projects that
could be leveraged for new fundraising opportunities.
- Design, oversee and maintain a financial system for proactive
monthly monitoring of all grant spending and manage all financial
elements of the grant reporting process, including the tracking of
expenses.
- Maintain copies of all grants and review all grant award
letters to ensure that the financial reporting requirements of
funders are met. This includes all audit schedules and
statements.Expense/Budget Management
- System administrator for Concur Solutions, our expense
management tool. As an administrator, you will process and analyze
the organization's expenses, including weekly check-runs, student
payments, and monthly AMEX submissions.
- Creation of new Concur training decks, and learning center
articles and handling the training and onboarding of new
employees.
- Analyze expenses and develop the content for quarterly budget
review meetings for each budget owner, which involves preparing a
summary of financial performance and conducting variance
analysis.
- Partner with Controller/MDF to provide financial and budgetary
support, guidance, and recommendations regarding using
budgets.
- Annual 1099 and other audit schedules related to expense
management.Qualifications
- Minimum of four years of relevant experience; preferably in
grants and expense management and/or financial accounting and
reporting, non-profit experience a plus.
- Skilled at creating grant budgets that are flexible to be
programmatic while still being general operations.
- Patient and able to successfully convey financial concepts to a
diverse group of non-finance professionals.
- Superior professional judgment and ability to handle
confidential information appropriately.
- Experience working with automated financial software systems,
cloud-based technology and office software. Knowledge of Concur
Solutions is strongly preferred.
- Expert-level knowledge of Microsoft Excel; experience with
pivot tables, v-lookup equations and large data sets highly
desirable.
- Able to manage multiple complex projects at once while meeting
mission-critical deadlines.
- Excellent verbal and written communication skills; a good
listener who can motivate others through influence, manage
expectations, be willing to engage in difficult conversations in
order to advance the work.
- Flexible and adaptable in response to changing organizational
needs and priorities.
- Excellent organizational skills and attention to detail.

- Bachelor's degree in Accounting or Finance required
