Position Summary:

We have an exciting opportunity to join our team as a Sr. Grants Manager.

The Department of Medicine (DOM) seeks an experienced Senior Grants Manager to support the grants management infrastructure that advances the goals of the department. Reporting to the Program Director for Research, the Senior Grants Manager will provide administrative support for research-related activities of the department (non-industry). This individual will be accountable for managing the day to day activities associated with grants and contracts management processes, practices, and systems in the DOM by overseeing all pre- and post-award activities. The Senior Grants Manager might supervise grants specialists. (S)he will be responsible for accurate grant and budget submissions, reporting, projections and compliance & audit issues. (S)He will serve as principal source of information on complex grant policies and procedures including federal funding regulations, and advises faculty and staff on existing options or alternatives.

Job Responsibilities:

  • Provides daily monitoring of grants and contracts for Principal Investigators and ensures that departmental policies and guidelines are in pace to manage research activities. Responsible for pre- and post-award management with a high degree of complexity; manages portfolios which include program projects, philanthropic gifts, various sub agreements from both federal and non-federal funding sources, ensures compliance with federal and university cost principles. Prepares budgets for grant and contract proposals, renewals, and periodic reports in accordance with NIH policies and trends.

    Manages procedures for tracking and reporting, including recommending remedial measures; assists with processing all payments including vendors invoices, individual reimbursements, and other accounts payable and receivables, and researches discrepancies as required; contributes to other department goals as required. Interprets and administers university guidelines and sponsored research regulations; provides guidance to faculty about department, university and sponsored policies.
  • Provide guidance, support, and training necessary to ensure staff succeed in performing their jobs, achieve their goals and develop professionally. Write or update job descriptions and communicate job duties and expectations to staff. Understand, communicate and apply organizational policies effectively and consistently.
  • Oversee the pre- and post-award management of all grants (grant preparation, submission, and fiscal grant management) and conduct ongoing monitoring and evaluation of the grant management process

    Ensure staff is working with investigators to establish clear individualized grant submission plans, and follow up pro-actively regarding planned submissions. Ensure regular grant meetings are held with investigators to discuss research progress, finance, and other issues.

    Ensure timely submission of well-researched, well-written, and well-documented grant proposals.
  • Oversee the interaction of grants mangers and financial analysts to ensure collaboration

    Function as a liaison between the grants management team and DOM faculty (Principal Investigators and Scientists)

    Coordinate and communicate effectively with the Program Director, Research; Associate Director, Finance; and Division Administrators to ensure accurate and timely payment of grants and program related contracts, consistent reporting of financial data between the teams and resolution of grant deficits.
  • Work closely with other grant support offices such as SPA, OCT, OIL, and NYUSOM Finance

    Ensure compliance with Federal Regulations, IRB, IBC, and IACUC

    Ensure compliance with NYU policies and procedures related to grants management

    Attend DAC meetings and represent the DOM

    Minimum Qualifications:

    • To qualify you must have a Bachelor degree,
    • Masters preferred with 5+ years of experience, with 3+ years of those years in pre- and post-award grants management experience (both federal and non-federal).A combination of education and experience may be considered.
    • Supervisory experience and personnel management experience preferred.

      Preferred Qualifications:

      Master's prepared
