a day in the life the the executive assistant to the chief operating officer

  • Maintain confidential and private business information.
  • Your primary role responsibility is to work directly with COO and VP of Operations on: information gathering and analysis, weekly reports, and basic financial modeling.
  • You are the right hand to the COO for day to day tasks.
  • Use Shopify Plus and QuickBooks to provide accurate weekly reporting.
  • Work with various leaders to examine current reporting and operational processes, identify areas of opportunity, suggest solutions.
  • Ad hoc reporting across departments as requested.
  • Support Operations Department in sales and production forecasting and planning models.
  • Assist in the creation and distribution of daily, weekly, and monthly sales/ expense/profit performance reporting, allowing business partners to highlight key business driving indicators.
  • Create presentation decks and org flow charts for information ideas and sharing.
  • Communicate with various freelance and contract employees to ensure deadlines are met.
  • Maintain calendar and some travel schedule for COO.
  • Due to the nature of our start-up business, this role will assist with other administrative and tactical projects across departments.
  • Other administrative office duties / projects as assigned.

    • You have exceptional Excel (Google Sheet) skills and can build basic financial models.
    • You can work on ecommerce traffic, production, and sales analytics simultaneously and understand how the two inform one another.
    • Sense of urgency and ability to work in a fast-paced, dynamic start-up environment.
    • You are able to identify a problem and find an efficient, workable solution.
    • You are thorough in your project completion and attentive to details.
    • Clear, proactive and effective communication and ability to ask for what you need.
    • Flexibility to multitask and handle multiple requests with varying degrees of priority simultaneously.
    • Willingness to jump into any task big or small - administrative or tactile. No day is the same!
    • You integrate fun and joy as part of your daily work experience.
    • You are courageously creative to try something new and improve existing systems.
    • You acknowledge the power of choice in all aspects of your life, and you choose happiness.
      • BA in Finance, Economics, Engineering or Business with a strong quantitative focus.
      • Advanced Excel skills required.
      • Must be proficient in Powerpoint / Google Slides.
      • Google analytics certification preferred.
      • Attention to detail.
      • Ability to retain complex verbal instructions.
      • Excellent organizational skills, time management skills and work ethic.
      • Knowledge of retail and inventory metrics is a plus but not required.
      • 1 year of experience in a quantitative, analytical role at a top-tier organization is preferred.
        • Hours expectations: 40 hours/week, some night/weekend availability.
        • Availability to travel to retail stores when needed.
        • Weekly schedule subject to change during busy season and events. Stoney Clover Lane reserves the right to make schedule adjustments based on needs requirements.
        • 2019 Blackout Dates: Dec 2-Dec 20.
