Job Description:
Job DescriptionTo provide administrative support and clerical
services to agency program directors and health office nursing
staff and perform other clerical duties as assigned.Schedule:
Non-Exempt
- Regular hours between 8:00am - 5:00pm, Monday - Friday, some
evening and weekend hours required
- Must be flexible to meet program needsFunctions:
- Will act as the primary point of contact for COVID vaccinations
for the youth in our care
- Will execute special projects as assigned as it relates to
COVID vaccinations and the required tracking and the internal and
external communication correspondences.
- Implement and maintains needed spreadsheets and other tracking
software needed for COVID vaccine department requirements
- Schedules COVID tests for youth in care
- Schedules youth, as needed, for an initial medical exam
(IME).
- Responsible for receiving COVID test results from third party
vendors
- Ensures on behalf of the medical department that medical intake
packets are received in a timely manner
- Participates in both intradepartmental and interdepartmental
meetings as needed
- Keep meeting minutes for department staff meeting
- Take trainings as needed such as the NYS Contact Tracing
Course
- Assist with organizational and clerical duties
- Serve as back up to receptionist for agency including
responding to 'assistance request phone calls' along with
responding to door assistance in a positive and respectful
manner
- Provide secretarial support and support the Health Office
staff
- NYS Registered Nurse licensure required
- Two years' office experience required, medical office
experience preferred
- Knowledge of medical office environment, workflow, and
terminology
- Strong knowledge and experience of working with Microsoft
Outlook, Excel and Word
- Working knowledge of Google Suite required
- Excellent typing skills
- Ability to multitask within a fast paced medical office
setting
- Ability to work independently and in collaboration with agency
healthcare providers and nursing support staff
- Excellent communication and proven human relations skills
- Ability to work well with people from many cultures including
recent immigrants, non-English speakers, and LGBTQ children
- Bi-lingual - English-Spanish required. All agency documents and
records are in English, so English writing proficiency required.
Position itself requires Spanish speaking, writing, and reading
proficiency
- Ability to travel to all agency locations
