We have an exciting opportunity to join our team as a Program Assistant - Anesthesiology,PeriopCare+PainMed.

In this role, the successful candidate will be registering and scheduling patients, scheduling procedures and tests, answering phones, obtaining and documenting insurance pre-authorizations and pre-certifications and facilitating physician and patient administrative needs. Assists Fellowship Coordinator with fellowship program support. Assists Office Manager with a variety of projects including scheduling, data collection and maintenance, and special projects.Job Responsibilities:CSTP:

  • Schedules routine appointments and follow ups for visits and procedures that do not require/or have already been pre-authorized. Prepares the daily schedule
  • Responsible for patient check-in and check-out. Gathers all patient demographic related data and materials from patients and/or their representatives. Obtains insurance information (ID card, member/group #s, etc.), verifies insurance eligibility electronically. Collect and ask patients to sign patient related documents including HIPAA, MSPQ, ABN, etc. Scan all necessary documents (insurance cards, lab requisitions, etc.) into the intake system
  • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff. Maintains confidentiality on matters to which they are privileged
  • Primarily responsible for taking patient phone calls and scheduling over the phone. Greets and screens telephone calls in a pleasant and professional manner.
  • Collaborates with other areas of the Medical Center as well as Insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures, and ensures patient is eligible at the time of their appointment.
  • Responsible for Pre-Authorizations and Certifications with the exception of surgical procedures. Ensures that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process and questions physicians, if appropriate, to ensure accuracy and completeness of information
  • Schedules/Coordinates/Maintains Division weekly schedule (all locations, both out and inpatient services), monthly on call schedules (including Fellows and Nurse Practitioners), and physician vacations and enters into database (AMION). Assigns resident pain medicine evaluations via New Innovations.
  • Coordinates Pain Medicine Monthly Lecture Schedule
  • Takes and transcribes minutes for several meetings including those related to the in-patient service (i.e., Steering Committee and Pain Medicine Patient Safety)


    • Reviews at-home call logs and moonlighting to ensure compliance Duty Hour (monthly)
    • Maintains fellows vacation logs, conference attendance and lecture attendance (daily)
    • Updates lecture schedule on New Innovations (daily)
    • Scans and maintains the following documents for Fellows portfolios (triennial September-October, December-January, May-June):
      Peer Evaluation
      Evaluation by Patient
      Evaluation by Resident
      Evaluation by NP
      Case Logs
      Scholarly Activities
      I-Stop Log
      Learning Plan
      Transition of Care
      Mentor-Mentee Assignments

      • Types and mails letters of recommendation from Program Director. (as needed)
      • Faxes and emails verifications completed by Program Director. (as needed)

        Program Evaluation Committee Meeting (biannual January, June)

        • Arranges Fellowship program meetings, prepares meeting agendas/PowerPoints, and takes minutes
          Orientation (annual - July)
          PD-Fellows Meeting (monthly)
          Grade and log fellows/residents Pain Medicine Rotation Exams (monthly)
        • Maintains log of fellows neuromodulation case schedule (monthly)
        • Assist Program Coordinator and Program Director with grant applications (biannual)
        • Updates fellowship manual and fellows goals and objectives with policies outlined by NYULH, GME office, and ACGME (annual)

          Minimum Qualifications:
          To qualify you must have a High School Diploma is required. Minimum of 1 year related experience in an office setting or the equivalent combination of education and experience.
          Effective Oral, written communication and interpersonal skills.
          Computer Skills Working knowledge in the use of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft.
          Ability to type at a speed of at least 45 net words per minutes.
          Knowledge of standard office practices.
          Ability to multi-task while paying attention to details.
          Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.Preferred Qualifications:
          Bachelor's degree with 3 years administrative and office support experience.Qualified candidates must be able to effectively communicate with all levels of the organization.

The salary range for the role is $42,100.00 - $48,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
