* Requisition no: 520223* Work type: Full Time* Location: Medical Center* School/Department: Environmental Health Sciences* Grade: Grade 104* Categories: General Administration* Job Type: Officer of Administration* Bargaining Unit:* Regular/Temporary: Regular* End Date if Temporary:* Hours Per Week: 35* Salary Range: Commensurate with experiencePosition SummaryReporting to the Chair of the Department of Environmental Health Sciences, the executive assistant will be responsible for coordinating the day-to day activities and tasks of the Chair while providing comprehensive administrative services and duties of discretionary nature in a responsible manner.Location: New York City, NY - Additionally, the Department of Environmental Health Sciences is currently piloting a hybrid schedule for in-person/remote work.ResponsibilitiesAdministrative Support (50%):* Coordinate regular faculty and committee meetings, including material distribution and notification to faculty members, and meeting minutes. Prepare and or assist in creation of meeting minutes as needed. Arrange campus visits for collaborators, outside speakers, and candidates.* Draft written correspondence, including confidential memos, notices, and material for departmental and online dissemination. Demonstrate professionalism in all forms of communications.* Assist in processing documentation regarding faculty promotions.* Participate in developing and implementing goals and systems for the office. Confer with the Administration and Finance and others to address and resolve issues and to implement proactive solutions.* Perform routine financial transactions such as reimbursements and P-card transactions and reconciliation on behalf of the Chair.* Provide cross-coverage and backup support for other office and program staff as needed. Coordinates efforts with other departments or co-workers when appropriate.Executive Support (50%):* Calendar, responding to scheduling and meeting requests, domestic and international travel arrangements, and assist with preparation for meetings and other engagements.* Preparation of materials for presentations, providing graphics design support in connection with speaking engagements.* Prepare drafts of written materials to aid with communications to the department and the University, including text for emailing, monthly Chairs newsletters, etc.* Organization and maintenance of files, answer incoming calls, making sure to screen the calls and logistically prioritize required response.* Perform other related duties as assigned.Minimum Qualifications* Bachelors Degree or the equivalent in education, training and experience, plus at least three years of related experience.Preferred Qualifications* Skills required:* Possesses expert knowledge of office routine, equipment, and information systems, as well as understanding of the department, its programs and procedures related to the work of the Chair.* Demonstrate excellent oral and written communication skills* Strong organizational skills and a high level of discretion* Ability to work independently and perform well under pressure, maintaining a high-quality work ethic and performance* Ability to efficiently manage multiple competing tasks, be flexible and adaptable, set priorities and be detail oriented, so that assigned projects can be initiated and followed through completion* Strong computer skills are required, such as Word, Excel, Power Point, and Adobe, with the ability to learn new programs as needed_____________________________________________________________________________________________________________Equal Opportunity Employer / Disability / VeteranColumbia University is committed to the hiring of qualified local residents.Applications open: Nov Eastern Standard Time Applications close:Back Apply Share
