  • Salary Range: Commensurate with experience Position Summary Mailman School of Public Health is seeking an experienced, highly engaged and progressive administrator for the role of Project Administrator supporting the Vice Dean for Finance and Administration (VDFA). The Project Administrator provides guidance for highly sensitive projects, manages a wide range of issues related to the office of the VDFA by tracking and advancing the VDFA's priority initiatives. The incumbent is expected to manage highly confidential and sensitive issues for the VDFA and develops solutions to a wide range of matters. This role reports directly to the VDFA. Due to current circumstances, remote work may be available, and the Mailman School of Public Health is piloting options for hybrid work environments going forward. Responsibilities
    • Working directly with the VDFA to spearhead projects as they pertain to the Office of VDFA
    • Manage special projects and the follow-up on action items, facilitate communication among and workflow between the VDFA and key departments within MSPH and throughout the Columbia Community
    • In collaboration with the functional units, responsible for all aspects of facilitating projects / initiatives including planning, scope definition, outcomes, design, execution and delivery, including development of processes and guidance, templates, and other core documentation
    • Analyzes problems and critical situations relating to assigned projects and develops alternative solutions with teams; reviews these proposals with staff and defines and implements decisions
    • Prepare agendas and briefing materials in advance of the VDFA's meetings and activities and ensure appropriate follow up actions are taken
    • Assist with preparation of presentations and communication on behalf of the VDFA
    • In conjunction with the Sr. Administrative Coordinator, monitor, schedule, and prioritize VDFA's calendar and meetings, ensuring activities are managed efficiently and effectively
    • Generate progress reports and monitor progress
    • Perform other tasks as necessary or required Minimum Qualifications
      • Bachelor's degree or equivalent in education and experience plus 5 years of related experience
      • Five years of high-level administrative support experience to senior executive staff in a relatively complex organizational environment
      • Excellent interpersonal skills, characterized by articulateness, diplomacy, tact, and the ability to effectively communicate facts and information in a positive, constructive manner both internally and to external individuals, groups, or organizations.
      • Excellent writing and verbal communication skills, appropriate to a business environment, characterized by the ability to clearly convey concepts and information, using appropriate vocabulary, grammar and, when writing, punctuation.
      • Excellent organizational skills, demonstrated by the ability to anticipate needs and prepare appropriately, and to organize and complete tasks efficiently and effectively.
      • High level of energy, enthusiasm, self-awareness, and self-motivation
      • High level of integrity and appropriate treatment of confidential information required.
      • Strong computer skills required, including Word, Excel, PowerPoint and PM software Preferred Qualifications
        • 5-7 years of high-level administrative support experience to senior executive staff in a relatively complex organizational environment
        • Master's or other advanced degree
