NOTE: All applicants must comply with-- -ICL/NYC's vaccination policy. -- -Individuals selected for employment cannot begin working until they -- -provide verification that they are fully vaccinated against COVID-19 (with an FDA-authorized vaccine).The Policy Administrator oversees the Compliance policy framework program and ICL's Electronic Document Management System (EDMS) The purpose of this position is providing oversight for policies and associated documents, synchronizing policies with regulatory and business requirements/controls, maintaining a central policy repository, and tracking approval requirements.POLICY MANAGEMENT:Direct the Compliance Policy framework program,Act as the subject matter expert for policies. Work directly with Leadership, the Regulatory Requirements, and document Control team and other business partners to ensure a coordinated effort.Manage ongoing and purpose-built reporting. Track policy lifecycles, including approvals, revisions, and implementations.Manage work streams and identify challenges/goals. Follow-up with policy owners to determine issue resolutions and escalate when needed. Build and maintain effective relationships with compliance and other business partners.Assist in the development of program goals. Manage systems used to support policy initiative. Anticipate and address cross-enterprise issues.Ensure policies and procedures are aligned with Federal, New York State, Pennsylvania, and New York City regulations, as required.Review policy content for clarity, organization, continuity, and consistency. Communicate recommendations to the Document Owner.DOCUMENT PROCESSING:Monitor, maintain, and control electronic versions of all organizational and departmental policies and procedures in the EDMS.Maintain an organized tracking system, using sequential document control numbers, to provide continuity across all organizational policy manuals.Research and provide current and archived policies for external requestors such as regulatory and accrediting agencies.COMMUNICATIONCommunicates and corresponds with all levels of the organization including management, staff, and physicians.Coordinate with leadership to schedule policies for review and approval by their respective Committees. Provide policies and other necessary documents.Attend and participate in committees, task forces, councils, and other meetings to provide policy knowledge and information as appropriate.Serve as organizational liaison and representative to PowerDMS.POLICY MANAGEMENT AND SOFTWARE APPLICATIONAssign role access for associates.Establish and maintain groups and committees.Reassign policies when associates change roles or leave the organization.Assist associates with developing or obtaining reports.Support associates with troubleshooting software issues and elevate to the PowerDMS as necessary.TRAININGEducate staff on the policy workflow process. Instruct and train them on the policy management software application.Provide training in a group setting and on an individual basis to end users.Ongoing availability to offer guidance with formatting challenges or other general policy questions.And other duties as may be assignedMINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS.Bachelor's degree from an accredited college or university and a minimum of 2 years' experience working with policy writing, controlled documentation, and Proofreading experience is a plus. The ability to accurately interpret and convert regulatory standards into related agency policies. -- -Must have strong knowledge of, or access to, specific laws and regulations that are: Imposed on health care systems by various agencies including Federal, State, Local regulations pertaining to nonprofit, public health or healthcare systems#CB
