The Role
The primary function of this role is to support Evening Sale initiatives and client activity, and to provide sales administration for the Impressionist & Modern Art team. The duties are varied, and will follow the cycle of the department's annual auction schedule as well as certain duties to support overall department activity. This role reports directly to the Head of Sale Management, Impressionist & Modern Art and will receive supervision by the Head of Department and Head of Evening sale.Specific duties & responsibilities will include but are not limited to

  • Manage client accounts by following-up on all prospective business, consignments, and sales for business team and specialists globally
  • Work closely with business team, specialists and clients to process all Evening sale business transactions, including contracts, marketing, invoices, shipments, viewings, and payment
  • Work directly with clients throughout the auction process, helping to maintain positive client relationships
  • Draft auction sale agreements, working with Legal when necessary
  • Obtain necessary authorization from Business team for the sale of property with special terms
  • Coordinate with Art Transport, Operations and Art Handlers to organize shipping, receipting, photography and exhibition of all Evening sale property
  • Provide condition report details to potential bidding clients in the month before the auction
  • Create and distribute fact sheets with images
  • Liaise with Client Accounting, Bids, and Cashiers to produce invoices and monitor payment status
  • Coordinate with Client Accounting to ensure vendors are paid in timely fashion
  • Maintain an overall tally of auction property including estimates, terms, specialist contacts
  • Track sale costs by updating the sale runner with all costs (confirmed and quotes)
  • Organize conference calls with International Team to discuss status sale property
  • Prepare weekly status updates of property to be communicated with senior management
  • Coordinate travel plans, liaising with clients, specialists and Christie's travel agent.
  • Compose and edit correspondence, reports, memoranda, and other material
  • Schedule appointments and meetings, liaising with clients and specialists
  • Reconcile Amex and expense reports.
  • Receive incoming phone calls, answering questions in a polite and professional manner
  • Participate in Telephone Bidding with clients during the auction
  • Perform other duties as assigned by Manager
  • Reconcile travel plans and expenses for the Head of Department

    The Candidate

    • Ability to manage multiple long-term projects
    • Extreme discretion with confidential and sensitive information
    • Excellent communication and interpersonal skills, including superior written and spoken communication
    • Superior client service skills
    • Background or interest in Art History is preferred but not required
    • Ability to remain calm in stressful situations
    • Demonstrated ability to multi-task and prioritize
    • Strong follow-up skills with attention to detail
